This Privacy Policy explains how BeatBounce (“we”, “us”, “our”) collects, uses, and protects your information when you use our website and services.

BeatBounce is an online radio/community project run by a small team of volunteers and staff. The website and related tools are operated to support radio shows, community features, and applications for roles on the station.

We collect information in three main ways: what you provide to us, what is collected automatically, and what is generated by your use of our services.

2.1. Information you provide to us

We collect information that you voluntarily provide when using features of the site, including:

  • Discord login / account details:
    When you log in through Discord, we receive basic profile information such as your Discord ID, username/handle, and avatar. This allows us to create and maintain your BeatBounce web account.
  • Profile information:
    If you update your profile on the website, we store the details you choose to provide, such as your chosen username, display name, region, short bio, or other optional fields.
  • Applications for roles:
    When you apply for a role (for example DJ, presenter, content creator, or staff), we collect the information you submit — including your contact details, the role you are applying for, your experience, availability, and any supporting links or demos you choose to share. We also store the status of your application and any internal notes that staff may add while reviewing it.
  • Application messages:
    Some applications can have a conversation-style thread between you and BeatBounce staff. Messages you send in that space are stored so that we can communicate with you regarding your application.
  • Request forms and shoutouts:
    When you send song requests or shoutouts through the site, we store what you submit (for example your name/nickname, the requested track, and your message) so that DJs can see and respond to it during live shows.

2.2. Information collected automatically

When you visit or interact with our site, certain information is collected automatically. This typically includes:

  • IP address and basic connection information (used for security, anti-abuse, and audit logs).
  • Pages visited, referrer, and timestamps.
  • Basic device and browser information (e.g. browser type, operating system).

Some of this information is logged for security and operational reasons, such as preventing abuse, debugging issues, and monitoring usage trends (in aggregate form).

2.3. Cookies and similar technologies

We use cookies and similar technologies to:

  • Keep you logged in and maintain your session (strictly necessary cookies).
  • Remember certain preferences, such as autoplay or visual effects toggles.

  • Applications and related messages: Kept while they are relevant to staffing, internal record-keeping, and preventing duplicate or abusive submissions.
  • Request/shoutout submissions: Kept for a shorter time, mainly for moderation, audit, and statistics.
  • Logs and technical data: Kept for a limited time for security and diagnostics, unless they are part of an ongoing investigation or legal obligation.

6. Sharing of information

We do not sell your personal data. We may share information in limited circumstances:

  • Service providers and infrastructure:
    Our site and radio services run on hosting providers and infrastructure that may process data on our behalf (for example, web hosting, streaming, logging).
  • Discord:
    When you log in via Discord, your basic Discord account information is used to authenticate you. The use of your data by Discord is governed by their own privacy policy.
  • Staff and trusted team members:
    Relevant team members may access your information (such as your application or contact details) when needed to review applications, respond to requests, or moderate content.
  • Legal requirements:
    We may disclose information if we believe in good faith that it is necessary to comply with law, regulation, legal process, or a valid government request, or to protect the rights and safety of BeatBounce, our users, or others.

7. Your rights

Depending on your location and applicable law, you may have certain rights in relation to your personal data, such as:

  • Right to access the personal data we hold about you.
  • Right to request correction of inaccurate or incomplete data.
  • Right to request deletion of your data in certain circumstances.
  • Right to object to or restrict certain types of processing.
  • Right to withdraw consent where processing is based on consent (e.g. some cookies).

We will do our best to respond to reasonable requests, subject to any technical, legal, or operational limitations.

8. Cookies and preferences

You can manage some of your cookie preferences via the cookie banner and “Cookie settings” control where available. Essential cookies that are strictly necessary for the operation of the site (for example to keep you logged in) cannot be disabled from within the site because they are required for the service to work.
